Any customer supplied material which comes into your company, for which you do goods receipt, basically has a documentation. So there should be a transportation copy, a supplier delivery note, supplier invoice, and these documents if they come into your soft copies, it’s well and good. You can have them attached to your ERP system. If it comes as a hard copy, have it scanned and put into your ERP system, so that people down the lane, say for example, accounts payable can refer it and all these documents are available in one single repository.

People can record the images of how the goods came in, they can mail it to their supplier, or the incoming quality inspectors can have pictures and photos of items which are being rejected and they can have them in their system. So that when there is a credit note generated for the supplier, or a rejection note generated for the supplier, the images in the form of photograph can go along with the credit note or if the rejection requires a detailed explanation. If there is any issue with regard to the items supplied, it can be reported back to the supplier. The supplier also gets to see what the issue with the supply is and the way it was transported.

If you have a well-established quality inspection team at your GRN gate or when you do the goods receipts, inwards receipts, they might have cases where they might record rejections. The supplier will come to know the reason for rejections, it also adds value. Not only has that, these pictures basically builds up a database for all the quality rejections. You can always refer in the future to see whether any rejections of similar kind and what were the actions taken for those rejections. You can use your voice messages for recording the reasons for rejections, and you can dispatch it to your supplier. You can also have a video mode and have it attached to the ERP so that can also be sent to the supplier. Few questions raises in your mind in the sense, how do I equip my people with a scanner? It is expensive to do that. Today there is plenty of open source available for scanning in android and IOS phones. You can make the best use of that and the output is much better.
