How to Use SUBSTITUTE Function in Excel

In this Excel Function Explained video series, I’ll simplify how to use Substitute function in excel. Excel Substitute function is frequently used to replace text in excel. But it is different than the Replace Function. Using substitute function, you’ll be able to find certain character or text inside a cell or string. Then you can replace it based on how many times that certain text you have in your data range or strings. So, it works based on the instance number.

Things you can do using Substitute function in excel is to tell excel to find out certain text and replace the 2nd, 3rd or even nth occurrence of that old text. That’s why you should learn to use Substitute formula in excel.

Let’s learn how to use Substitute formula in excel without any delay.

The Function looks like this = SUBSTITUTE (Text, OLD_Text, NEW_Text, Instance_Number)

The Substitute function has four parameters or arguments.
1. Text: in this parameter, we need to either write the text or specify the cell from where we need to replace the text.
2. Old Text: This is the existing text or character or words you need to replace.
3. New Text: This is the text you want to replace with.
4. Instance Number: This is an optional parameter. If you don’t write it, it will Change Everything. Now the instance number is the occurrence number. Let’s say you have a sentence and in that sentence the word “good” is written twice. Now you want to replace the second “Good” with “Bad”. So, the instance number here will be 2. This is how it works.

Now there are two points you need to remember before using this function.
1. It considers space, decimal or any symbol as a character.
2. It is case sensitive.

This is how we use Substitute in excel. Remember, using Substitute function in excel you actually tell excel formula to replace text based on another text.
