How to setup and use Gift Certificates in QuickBooks

Need help setting up and entering your gift certificates into QuickBooks?

Let me show you how! 😊

In this video, learn how to setup and use Gift Certificates inside QuickBooks.

**Gift Certificates are not considered income to you until you provide the product or service. The moment you sell a gift certificate is considered a liability to you.



➡️ Items List

Go up “Lists”
“Item List”
“Item”
“New”
“Type: Other Charge”
“Item Name/Number”
“Description”
“Amount or %”
“Tax Code”
“Account”
Click “OK”


➡️ This is where it sits until they redeem it.

Go up to “Lists”
“Chart of Accounts”
“Edit Account”
“Account Type”
“Account Name” (Gift Certificates/Gift Cards)
Click “Save & Close”


➡️ Create Sales Receipt

Go to “Create Sales Receipt”
“Customer/Job”
Enter other details
Click “Save & Close”


➡️ Balance Sheet Report

Go up to “Reports”
“Company & Financial”
“Balance Sheet Standard”


➡️ Record Deposits

“Payments to deposit” screen pop up will show
Select the payments
Click “OK”
Click “Save & Close”


➡️ Creating an Invoice or Sales Receipt

“Customer: Job”
“Date”
Add and Choose “Payment Method”
Click “Dropdown”
Payment Method: Gift certificate
Payment Type: Gift Card
Click: OK
Choose “Item” (1st item: things that are bought from you)
“Description”
“Amount”
**If they have other item just add in the next lines

Choose “Item” (Next item: things that are bought from you)
“Gift Certificate”
“Amount” (Should be negative)
**Total should be Zero

Click “Save & Close”


➡️ Profit & Loss Report

Go up to “Reports”
“Company & Financial”
“Profit & Loss Standard”


➡️ Checking Gift Certificates

Go up to “Lists”
“Chart of Accounts”
Find your gift certificate, to see details
