Worried? Sleeping more? Frustrated? You may be overwhelmed. The tendency is to get as busy as possible, spending money and time building a business. The first thing most entrepreneurs do is to keep a list of things to do in his or her head. This list becomes unresolved and causes the mind to wander into worry or fear.

This person is overwhelmed.


Let’s look at the overwhelmed person first
Self-Made Tight Deadlines – Usually this is caused by some upcoming bill or penalty.
Lot’s of incomplete ideas – Thinking is the first thing that starts when worry or fear ensues. The mind becomes flooded with more and more things “to do.”
Lists seem daunting – Writing down a list of things to do seems to bring on exhaustion.
Tired and Sleepy – When the mind churns it causes physical, emotional and spiritual wear.
Frustration – It seems like everything is complicated or doesn’t work correctly. When someone has good news about himself or herself, jealousy pops in instead of praise.
Blame – GOD becomes a target of blame and so do others.

If you are overwhelmed, just know its okay. GOD knows it and understands it. HE also is not that hard on you and does not want you to be hard on yourself. JESUS even said “MY yoke is easy and MY burden is light.”

In other words when you couple your load to CHRIST, HE will pull the load.

So let’s look at the fruitful person
Creates realistic deadlines – Problems happen and the fruitful person know to factor in extra time to get things done. Over time the mature fruitful person knows many things worth doing take extra time.
Uses a wish list – Keeping track of all the work is extremely important. Using a wish list versus a to do list means you give yourself permission to leave something on the list until you are ready to work on it or when it is time. You may even complete something and leave it ready while you work on other things.
Completes small valuable things first – Sometimes it’s better to get a little momentum. A wish list helps you identify all the work and then you can ask yourself, what is the easiest most valuable thing I can do right now? Start with that and work on it until it is complete. This gives you a win and a sense of accomplishment.
Gets energized by small accomplishments – Let’s face it, every day is not going to be the best day for doing a lot. Take one step. If that’s all you can do for that day, that’s plenty. One step forward is huge, so celebrate it!
Knows when to rest – Shutting down for the day is important. Intentional rest keeps energy levels high enough to work another day.
Accepts mistakes – Mistakes will happen and being able to accept mistakes will keep the mind clear.
Slows down to address the complex – Your first answer may not be the correct answer when working on something complex. Rest for a night when you come up with a solution and see if it still makes sense.

Take frequent breaks and do little by little to complete the work.

Speaking of the work… let’s start addressing your wish list. Remember that? This is the list of things you need to work on to get your business up and running. Remember we broke the larger vision GOD gave you into an Epic. We also broke the epic into specific groupings called Features of your business.

Each Feature of the business was validated through speaking to your customer and you obtained how, when, where and possibly why the customer is using your product or service.
We put all this stuff on a wish list but now it’s time to get organized.

One way to tackle ultra large problems is to draw a picture. This way you can see the problem visually. What I am going to do is give you a trick to get a LOT done and reduce being overwhelmed.

Let’s start with the Epic

To stay organized we will give a high level grouping for work we have to do. Keep everything as simple as you can. In other words, try your best to stay away from marketing terms right now because you are building the product or service.

Let me give you some examples you can use as high level groupings

Customer Intake could be a high level thing for some of you who do services.

The Features of Customer Intake could be
Intake forms
Agreements
Orientation
Policies

Let’s look at another Epic. How about Order to Cash or Payment Systems

This could have the following features if you have a business with a product
Online Ordering
Online Payments
In store Ordering
In store Payments

Each Feature needs a definition that is meaningful to your business. Customer facing Features are the parts of your business customers interact with. These Features need to be defined clearly and succinctly because the description will end up on your website or marketing material.
