1. Start Creating Your Rule - In Outlook, navigate to File, then select Manage Rules & Alerts, Choose the 'New Rule' option to begin the rule creation wizard, Select 'Apply rule on messages I receive' from the blank rule section.
2. Target the Shared Mailbox - For the condition, check the box for 'through the specified account', Click the underlined 'specified' link in the rule description editing pane, From the pop-up dropdown menu, select your shared mailbox account.
3. Set Your Notification Actions - To get a pop-up alert, check the action 'display a Desktop Alert', For an audible cue, you can also select the 'play a sound' option, After choosing your actions, click next and then name your new rule.
4. Understand Rule Limitations - This is a 'client-only' rule requiring the Outlook desktop app to run, Notifications will not work on your phone or Outlook on the web, Your computer must be on with Outlook open for alerts to work.
