Mastering Google Sheets for Beginners | Learn Data Entry, Formulas, & Finance Planning (Digital Skills Kenya)
In this video, I take you step by step through the basics of Google Sheets — not just as a spreadsheet tool, but as a practical digital skill that can help you manage money, work with clients, and even earn online. This is part of my Digital Literacy Night School where I teach Africans, especially beginners in Kenya, how to use real-world tools to grow personally and professionally.
✅ What You’ll Learn in This Session:
👉 How to Access and Navigate Google Sheets:
I began by showing how to open Google Sheets, create a blank document, and explore the layout. I explained the difference between Google Sheets and Microsoft Excel, and why I prefer Google Sheets for its accessibility, especially on mobile and shared projects.
👉 Basic Spreadsheet Setup:
I demonstrated how to input data, label columns and rows, and set up a basic layout for managing finances. We covered tips for clean formatting — adjusting fonts, aligning text, and resizing columns.
👉 Using Formulas Like a Pro (No Math Degree Needed):
I introduced core functions that every beginner must know:
– =SUM() for totals
– =AVERAGE() for calculating averages
– =COUNT() to count entries
– =MAX() and =MIN() for data insights
All with real-life examples like budgeting and expense tracking.
👉 Creating a Personal Financial Planner:
Together with the class, I guided everyone in building a simple but powerful Google Sheets financial planner. It helped learners calculate income, expenses, and savings using basic formulas and cell references — a critical tool for anyone looking to gain control of their money.
👉 Sorting and Filtering Data:
I showed how to organize data alphabetically or numerically, making it easy to spot trends, find duplicates, and analyze your sheet — even if you’re not a numbers person.
👉 Formatting Cells (Currency, Dates, & Percentages):
We practiced turning raw data into something readable and professional. I taught how to apply number formatting (like KES for currency), adjust decimals, and standardize columns for clean presentation.
👉 Chart Creation for Visual Data:
You’ll also learn how to turn your data into charts — pie, column, and line graphs — directly in Google Sheets. I explained when to use each type and how they can help you explain your data visually to clients or in presentations.
👉 Using AI to Generate Sample Data (Dips & ChatGPT):
To make the practice more practical, I used AI tools like ChatGPT and Dips to generate dummy data. It’s a great hack when you’re building samples for clients, freelancing portfolios, or teaching.
✅ Why Google Sheets Is a Must-Have Skill in 2025:
This is more than an Excel alternative. Google Sheets is one of the most in-demand digital skills in:
– Freelancing & VA work
– Business finance & budgeting
– Inventory tracking
– Project and content planning
– Data entry jobs
– Online teaching & client reporting
👉 What Makes Google Sheets Great for Beginners:
– It’s 100% free
– It auto-saves in real-time
– You can collaborate with anyone remotely
– It works well on both desktop and mobile
– No installation needed — just a Gmail account!
