Welcome to another episode of SaaS Metrics School! Today, we're diving into one of the most critical components of SaaS financial management—your MRR schedule. Whether you’re preparing for due diligence, optimizing internal operations, or enhancing retention analysis, your MRR schedule is absolutely indispensable. In fact, it's worth its weight in gold! 💰

What is an MRR Schedule?

At its core, an MRR (Monthly Recurring Revenue) schedule is a detailed record of revenue by customer and by month. Picture an Excel spreadsheet:

Column A: Customer names
Top row: Periods (monthly)
Cells: Revenue for each customer for each month

It’s as simple as that! But depending on how you manage your business, you can add layers of segmentation. Think product lines, ideal customer profiles (ICP), geographies, or any other metadata attached to customer records.

Why Is an MRR Schedule Important?

Your MRR schedule is a must-have during due diligence. Private equity firms and acquirers rely on it to assess the health of your recurring revenue, calculate retention metrics, and ultimately decide whether to invest. A weak or incomplete MRR schedule can be a dealbreaker. For example, if investors can't calculate your Gross Revenue Retention (GRR) or see at least 90% annual retention, they might pass on the deal.

It’s also a vital tool for internal analysis, enabling you to:

Track retention metrics
Monitor subscription trends
Identify revenue health by customer or product line

How to Create Your MRR Schedule

If you’re new to building an MRR schedule, start with these basics:

Customer Name – Identify each paying customer.
Invoice Amount – Record the value of the contract.
Subscription Start Date – When does the subscription begin?
Subscription End Date – When does it end?
(Optional) Invoice Posting Date – To align with revenue recognition (GAAP compliance).
Revenue Type – Segregate recurring revenue from professional services or one-time fees.

If you invoice monthly and on time, you can simply match invoice months to revenue periods. But accurate data is key—missing payments or incomplete records can create major issues.

Challenges in MRR Schedule Creation

Despite its simplicity, many SaaS companies struggle with MRR schedules due to:

Poor invoicing practices
Disorganized customer data
Failure to separate revenue types

Fixing these issues is a crucial step toward financial maturity.

MRR Schedules in Due Diligence

During due diligence, acquirers or investors will slice and dice your MRR schedule to evaluate retention and revenue health. Key metrics include:

Gross Revenue Retention (GRR)
Net Revenue Retention (NRR)
Subscription and variable revenue analysis

Without a robust MRR schedule, you risk delays, miscalculations, or worse—losing a potential deal.
