We want to create something in Visio that we need to replicate repeatedly if something changes. We don’t want to change everything manually when something changes. An easy way to do this is to use the shapetext function. This function returns the text of the shape named sheet N, exactly as it is shown in the shape. First, let’s draw shapes or you can use a textbox. We want to auto-replicate the text typed here in this shape to this shape. To do this, follow these steps. Step 1, select the texbox that will serve as your reference, and go to Developer tab, then at the shape design group, select Shape Name and note down the name. Step 2, click on the another textbox, where you want the text to auto replicate, and go to Insert Tab, then at the text group, select field. Step 3, in the field dialog, select custom formula under category and in custom formula text field enter the formula, shapetext, open parenthesis, name of the textbox we want to replicate, in this example the name is process so we type in process then exclamation mark, then type, the text, then close parenthesis. Then click okay. So lets try it, let’s type process, lets try another work, okay, or start. As you can see, whatever I typed it replicates to the next box.
