Before I start to make plans for production I want to know exactly what I already have in terms of venues and areas, products, people and contracted partners and suppliers. For two reasons. Responsibility and cost-efficiency. The easiest way to decrease production costs in general is to look and use first the items we already have, have acquired through contracts or for other reasons are cost-efficient to use in our productions. These items we need for producing our events can be classified to four: space, stuff, staff and service. I haven’t found an item that I couldn’t classify to one of these.

However, listing all items we have with just four titles (space, stuff, staff, service) makes lists of items way too long (for me at least). So I make sure I have better system for inventory and eventually getting required items we don’t have at the moment we plan. I categorize items the way it works best for our event and event organization. In practice, I categorize and list everything in three levels: main categories, sub-categories and items.

Space: Venues (main), Areas (sub), space items (ie. rooms, specific space)

Stuff: Product Categories (main), Sub Product category, stuff items (products)

Staff: Staff groups (main), Teams (sub), staff items (jobs or persons)

Service: Service categories (main), service areas (sub), service items (suppliers, professionals, freelancers etc.)

When we have our inventory and list of items we might need for a production in right order we are able better include these to our plans. And in addition we have already in place a clear system (categories) for making task lists or shopping lists for venue management, sourcing, recruiting or partner sales. More of these tasks shortly.
