Описание к видео AL: Beginning Access Developer, Part 2–Forms, Reports, Macros, QAT--Maria Barnes & Crystal Long

If you develop with Microsoft Access, or plan to develop, watch this. Maria Barnes and crystal (strive4peace) join together to give a strong foundation to understand developer concepts. Access constantly changes.

Thanks to experts Ben Sacherich, Peter Cole, Adrian Bell, Steve Bishop, and others who chimed in with great insight on how to fix issues, links to look at, things to consider, good questions, and helped in the chat!

Part 1 of this lesson went into database design, indexes, relationships, tables, and queries. It is posted here on YouTube:

Beginning Access Developer, Part 1 - Tips and Shortcuts, by Maria Barnes and Crystal Long
   • AL: Tips & Shortcuts for the Beginning Acc...

1:45 In this continuation, Maria shows how you can select a table in the navigation pane and create a quick Single Form.

3:23 There are other types of forms you can create such as Multiple Items (Continuous Form), Datasheet, Split, and Modal Dialog.

Because Maria's ribbon is collapsed, it isn't just click, but double-click to select a tool for creating a new control on a form or report.

7:36 The Format ribbon tab lets you set formatting such as bold, background image, and conditional formatting.

7:55 Reports are a lot like forms. They also have controls and you can drag fields over.

8:40 select an object, like a table in the Navigation Pane, and make a report based on it.

8:49 Reports have different sections, and you can set fields for sorting and grouping. You can group by the entire value and other breakdowns depending on what kind of data it is.

12:23 Error indicators help diagnose problems

13:46 in Print Preview, there is a right-click menu to switch views, zoom, print, export, and more.

14:53 Macros are a good way to start getting into automating Microsoft Access.

Two important macros to note are named:
1. AutoExec to automatically execute when an application is opened. Alternatively, you may wish to choose a Display Form to show on startup in the options for Current Database.
2. AutoKeys to define shortcut keys for the application.

Capitalization doesn't matter.

In Excel, the term 'macro' also refers to VBA, but in Access, they aren't the same.

In Access, macros are menu-driven and provide an easy way to learn how to automate. Macros lead you to VBA!

19:33 An AutoKeys macro can assign a shortcut key to run code (only thing VBA can't do). Crystal demonstrates using VBA to save whatever report you're looking at as a PDF file and tells Maria the steps to set it up to run whenever a user presses Ctrl-Shift-P on a report they're looking at.

The code was kept simple to focus on how to assign it to run using a shortcut key. See how to import a BAS file with VBA code. Copy the function name you want to the Windows clipboard so choosing it later will be faster.

21:10 Create a new macro called AutoKeys. In the macro designer, to define a shortcut key, you must designate it as a Submacro ... click Show all actions on the ribbon in the macro designer to see that choice. The submacro name is ^+P and the action is RunCode, which specifies a VBA function called ReportToPDF.

23:48 uh-oh, ran into a problem. Remember to write parentheses after a function name in the macro designer even if there aren't any parameters (thanks, Ben!)

27:26 A question was asked about creating reports without alternating backcolor. You can make a Blank.accdb, which Peter Cole talks about in his Access Theme presentation.

30:24 What do Form and Report Design have in common?

In part 1, Crystal showed a lot of shortcut keys that you can use to enter data, select data, and move around in datasheet view, forms and reports. You can download this handout from msAccessGurus.com.
