Leadership Organization Skills – How to Get Organized and Save Time in Your Day-to-Day Routine!
Hey guys, Chris Igwe with you here and today I want to remind you of the importance of being organized. I know it sounds obvious, but did you know that time lost looking for files, folders, contact information, key correspondence, and so on, accounts for 20% of your working day? That is why it is important to improve your leadership organization skills and well, other leadership skills in general! Project management will be that much easier with the correct leadership organization skills.
To be clear, this is different from searching for information to prepare or complete a report or a study. Leadership organization skills are imperative in finding success in any business as a leader.
What I am referring to here is what is known as non-productive work. In other words, in no way does it enhance your work or contribute to the success of the day’s business.
To set the stage for you, one report in the US noted that 54% of office workers report wasting time looking for the necessary information to carry out their tasks. This shows that their leaders failed to show them any leadership organization skills. Organization skills for leaders have to be learned by every leader and passed on by you to your team members who will in the future become leaders.
In another report, data showed that just under 20% of the time was wasted looking for information. That is 1 day a week!! How do you feel about that? Most people’s leadership organization skills are not up to scratch.
I have developed my own systems to manage information and files. Leadership becomes easier if you follow these steps and add them to your leadership skills.
I will share some simple ones here to consider:
• If you are in a leadership position, your PA is your lifeline
• If you are part of a project management team, the Team PA should be the anchorperson
• Set up a good, simple filing system (cloud, intranet, laptop, digital, or a physical notebook)
• Guard preciously contact information and update it regularly
• Once a quarter, go through your folders and files and see what is outdated, obsolete, incomplete
• Review all your folders to see where they are located
• Have you correctly named files and stored them in the same place?
Beyond all this, I believe that there is a mindset issue that holds us back. You must first realize that your mind has to function in a way that is open to information being properly and effectively stored in one or different places.
You see some things will be very difficult to do.
At the other end of the scale, knowing where and how to access contact information that is accurate and up to date, is critical. Again, using the mind, especially if I recall not having heard from the person for a while, I will automatically double-check the email, the landline, and mobile number to see if they have changed. Once you start implement these leadership organization skills, you will automatically start seeing result on your business performance.

I cannot tell you how to manage your life or your business, but what I can say is that you need to urgently find a system that works for you. For example, someone may use WhatsApp as their main communication means for business. If that does not work for you and you prefer email, tell them so. Make them adjust to you and not the other way around. Worst case, you forward the attachment or do a screenshot of the text and forward it to yourself to properly file. This is how to be a leader and something that you can add to your leadership skills set.
The key is:
• Simplicity
• Consistency
• Clarity
Do not underestimate how having a well-oiled and efficiently functioning system can save you thousands of hours of project management, allowing you to focus on the things that really matter. Keep engaging in leadership training and you will develop those leadership organization skills that you are after.
