Placing Phone orders is quick and easy with Order Entry.

Mail Order Entry does require a bit more training due to mail batching options available. Please see separate training for Mail Order Entry.

The following video will cover how to complete an order using Order Entry.

When practicing you can use test Credit Cards such as:

Visa 4444-3333-2222-1111 Exp (any future date) CVV (Any 3 numbers)
Mastercard 5454-5454-5454-5454 Exp (any future date) CVV (Any 3 numbers)

Here are some important tips to take away:

Source Codes should always be asked for from the Customer.

If you don't send catalogs or other mailings, asking: How did you hear about us? is a great way to properly track Source.

If you do send catalogs or other mailings, asking: Do you have our Catalog/post card with you today? Based on their answer either select or enter a source code provided.

Always SEARCH for Customers before creating a new Customer. This helps to avoid duplicates and makes Customer Service a breeze!

Verify quantity and pricing every time! This ensures you entered the right information and the Customer is in agreement to the amount being charged.

Check the Shipping address and method before collecting payment. This helps ensure you don't forget. Customers don't always remember they want it shipped elsewhere until you ask.

When authorizing the payment, should the payment line turn yellow, this indicates there is a potential mismatch with the CCS billing address and the CC billing address.

Reverse the Authorization (as it is authorized just not "approved" fully).

Ask the Customer to verify their Billing address exactly as it is with the CC they are using. Update the account accordingly. Ensure you have typed/entered everything correctly.

Re-enter the CC and try again.

If it stays yellow, simply save the order and move on. Do not raise any alerts as this is also a sign of potential fraud.

If able, collect a secondary contact number if not already on file. This helps ensure we can properly reach the Customer to complete any additional verification needed.
