Creating inclusive events for all is something we're always exploring with our clients.

Here’s a few solutions we implement to help shape their events from a technical production perspective. PLUS we asked a few industry experts to gather more ideas for our #eventprof friends!

What can you add to our list below?

▶️ Live Stream Your Event – Audiences increasingly expect virtual access by default – an obvious solution for those who want to join in but physically can’t be there in-person

▶️ On-Demand Access - Replay: Offer a recorded version of some or all elements of your event and include accessibility features on recordings. Break videos into sections to create segmented content making it easier to navigate

▶️ Add Captioning / Transcriptions: Provide real-time closed captions during streams. Test that they are accurate and synced properly. Go a step further and include the option for selecting captions in different languages ensuring that attendees from different linguistic backgrounds can fully engage with your event

▶️ Digital Signage – Keep everyone informed with real-time schedules and session updates. It’s advised that high colour contrast is used, with a minimum font size of 14 to make sure your signage is easy to read

▶️ Offer Easy Viewing - Provide additional screens to ensure every participant can see the action. Eye-magnification is another helpful tool. This visual aid zooms in and focuses on the individual speakers on stage and then projects them clearly on screen for all to see

▶️ Lighting and Sound Adjustments – Incorporate a good experience for attendees with hearing loops / induction loops, no matter the event format. Moderate flashing lights and loud. Use high-quality wireless headphones that cancel out any sound that might interrupt or distract those not part of the session

▶️ Sign Language Interpretations: Consider on-screen BSL/ASL Interpreters, e.g. add a video box with a sign language interpreter for live streams
