Asana Create a Simple Workflow

Today I’m going to show you how to create a simple workflow in Asana that lets you automatically assign a task and copy it to another project. This video assumes that you have already created a form for work intake. The view I will use in this example is the Workflow view. Let’s get started!

Open Asana and find your project. Click on the Workflow tab at the top if you don’t already see the Workflow view.

You will see in the start of the workflow, that the form for the project is how tasks are being added to the project. In the example, my form is called the Request Queue Form.

Click Next.

Click on Add trigger to move tasks into this section.

Click Task added to this project.

Click Task added to this project again.

Choose a source and select Form submissions

Choose a form and select Request Queue Form.

If you have more than 1 section, you can click on Move task to a certain section and pick the section. For this example, there is only 1 section in the request queue project.

Click Create rule

Now we can assign it to someone and copy it or move it to another project.

Click Assign task and assign it to who it needs to be assigned to.

Click the plus sign below the rule you just created.

On the right hand side, under Move task, click To a project.

That rule will appear under the one you just created.

From here, you can choose to select Add to an additional project or Move task to another project. If you add the task it will keep the task in the original project and make a copy of it in the other project you choose. If you move the task, it will move it out the project and into the new project you chose. For this example, we’ll select Add to an additional project.

Click on Choose a project and select the project name of where you want to add the task to. For this example, we’ll select Website design.

Click on Choose a column / section and select the section you want to add the task to. For this example, we’ll select not started.

Click Create rule.

Let’s test it out!

I will fill out the form.

Then go back to Asana in the Request Queue project.

Here you will see the task in the New Request section and it’s assigned to me.

And you will see the task in the Website Design project, in the Not Started section, also assigned to me.

Making that simple workflow enables you to assign someone the task then copy it to a project instantly. You can always add and modify the workflow, based on your needs.
