In this episode of "Q & A with Matt K!", Matt takes on Michele's question from the Salesforce Trailblazer Community about adding a picklist of reject reasons to an approval process.

"Picklist of reject reasons in approval process

I would like to be able to have a picklist of reject reasons in the approval process. For example, when an approver clicks the Reject button, I would like the person to be presented with picklist options of the reason that the request was rejected. The free text comment leaves room for error. Based on the reject reason, I would send a customized email. Ideas?"

After some digging, here's what we came up with:

29:02 - We couldn't find a perfect solution within the standard Approval Process, but there's a potential workaround!

The workaround involves using contextual visibility of components, meaning the approval process-related list is only displayed if a valid rejection reason (or approval) is selected. This approach results in a bit of duplicated effort for the approver but gets the job done.

For those open to a more technical solution, there's a way to achieve this with some custom code, though it's not the most admin-friendly and wasn't fully implemented in this episode.

Alternatively, the best option might be to use Flow to essentially build your own approval process from scratch. This provides the flexibility needed, especially if you're not locked into using the default Approval Process functionality.
